Booking of Tour :
On confirmation of booking of your tour, your contract is with M/s Welcome Journeys Pvt. Ltd. A contract exists between us when we confirm your travel arrangements and have received the deposit amount from your end.

Payments Terms :

For the services contracted, some advance payment will be required to hold the booking on confirmed basis and the balance amount can be paid either before your arrival or upon arrival in INDIA but definitely before the commencement of the services. Welcome Journeys holds the right to decide the amount to be paid as advance payment, based on the nature of service & the time left for the commencement of the service.
Besides above, in certain cases like Luxury Train bookings, hotels or resorts bookings during the peak season (Christmas/ New Year) or during fairs/festivals, full payment will be required in advance as per their policies, so as to avoid any cancellation charges on us in case of sudden cancellation by the customer OR no-show.

Amendment to a booked tour
Kindly note we do not encourage changes in the confirmed arrangements. But if you still need to make any amendment in the arrangements which are already confirmed, we will do all possible to accommodate the changes, which will depend on the availability. However, the changes will be subject to certain minimum amendment or administration charges.

Cancellation of a booked tour or any services

We would deeply regret your decision to cancel your trip to the Incredible India, however we realize that there are many valid reasons which lead to cancellation of booking. Cancellation must be notified in writing and will take effect the day Welcome Journeys receive the your intimation through email or fax.

Policy regarding CANCELLATION / NO SHOW

In the event of cancellation of travel arrangements due to any reasons, we must be notified of the same in writing to our Head Office (under copy to the staff corresponding with the customer). Cancellation charges will be effective from the date we receive your intimation in writing. As per the rule in India all payment refund will be made in Indian Rupees only, as per the conversation rate prevailing at the time of refund. The following cancellation charges will levy.

121 days prior to your arrival 5% of the tour value + Actual service cost (like train, flight tickets etc.)
120-61 days prior to your arrival 10% of the tour value + Actual service cost
60-46 days prior to your arrival 25% of the tour value + Actual service cost
45-31 days prior to your arrival 30% of the tour value + Actual service cost
30-21 days prior to your arrival 50% of the tour value + Actual service cost
20­-15 days prior to your arrival 75% of the tour value + Actual service cost
Less than 15 days or no show No refund


  • Irrespective of above mentioned cancellations slabs - incase of cancellation of tour / travel services after the booking is made with us - a minimum 10% service charges would be applicable.
  • In case you cancel the trip after commencement of your trip, the refund would be restricted to a limited amount that too would depend on the amount which we would be able to recover from the hoteliers we patronize.
  • In case of special train journey (like Palace on Wheels, Deccan Odyssey, Royal Orient etc.) and high peak season bookings (from 20th Dec to 15th Jan) a separate cancellation policy is applicable (which would be advised as and when required).

Refund for any unutilized services :
Welcome Journeys Pvt. Ltd., its staff and any of the company representatives do not bear any responsibility of any refund after the completion of the tour, for any unutilized services like accommodation charges, meals, air tickets etc. The requests for refund of any unutilized service will be sent to the respective service provider on behalf of the customer, after receiving the claim letter in written through email or fax. Please note that usually this refund process takes 2-4 weeks and if the refund is made to the credit card account OR to Bank account, the bank charges would be debited from the refund amount.

Hotel Check in / Check out policy :

Most of the hotels in India offer 1400 Hrs. check in and 1200 Hrs. check out facility. Complementary early Check-In OR late check-out is always subject to availability of the rooms at the time of arrival/departure of the guest. For guaranteed early check-in, reservation needs to be made starting from the previous night.

Our liabilities & limitations :

  • All efforts will be made sincerely to maintain the contract made by our organization with its customers but there are always possibilities of certain Items like airfares, entrance fee at the monuments or drastic increase in fuel costs etc. getting more expensive without any notice from the Government authorities. In such FORCE MAJEUR, the difference in the cost would be borne by the customers. Welcome Journeys Pvt. Ltd. act only in the capacity of agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by actual suppliers.
  • All itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or even after the commencement of the tour. We reserve the right to change any schedule in the interest of the trip participant’s safety, comfort & general well-being.
  • Our rates are based on the prevailing rates as negotiated by us with the hotels, airlines etc. Hotels and Airlines retain the right to modify the rates without notice. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels or airlines. All hotel bookings are based on usual check in and check out time of the hotels until unless indicated in the itinerary.
  • We shall not be responsible for any delays & alterations in the programme or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of transport, weather, sickness, landslides, closures/blocades due to political unrest or any such incidents.
  • We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or defaults, or any other causes beyond our control.
  • We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their home country. All baggages & personal property/s at all times are at the client’s risk. Our transport is certainly Insured as per Indian Motor Vehicles Act and claims, if any, will be made as per the rules of the Insurance Companies in Indian Rupees.

Welcome Journeys ensure that all personally identifiable information (like name of the client, address, contact no., nationality) submitted on our network of websites by our sophisticated clients are safe, secure and intact with us.
You may also browse our network of websites without providing any of your personal information. However we do conduct a safe tracking of Internet address of the people who visit our websites, for the purpose of analyzing the market statistics and understanding the latest trends. But this process of tracking does not include any personally identifiable information.  Therefore all our respected guests may browse our site network remaining completely anonymous.

Ltd. is committed not to disclose, sell or trade any of the private information to the third party which will derived from the registration, or to use any online services which involve personal name and addresses without the consent of the user or customer. The exceptions to these declarations are subpoena, search warrant, or other legal process or in the case of impendent physical or mental harm to the client or associates.
Please make a note that some information such as your name, your date of travel etc. may be shared with our suppliers & hoteliers for purposes of confirming your reservation and providing the services you require.
